Challenge

Bureau Blaauw’s approach to HR recruitment is highly personalised and relationship-driven, ensuring that every candidate placement is an ideal fit. However, the firm faced significant administrative challenges in its hiring process:

  • The team of ten consultants conducted approximately 40 interviews per week, making note-taking and post-interview report writing highly time-consuming.
  • The first round of interviews is conducted online, while second-round interviews take place in person, requiring seamless information transfer between recruitment stages.
  • The manual creation of structured and detailed reports for the database takes a lot of time.

Recognising the need for a solution that could reduce administrative workload without compromising on the human-centred nature of their work, Partner and Executive Search Consultant Frank van Os initiated a pilot programme, using three in-house recruitment consultants to test In2Dialog’s capabilities, identifying the way it could integrate into the businesses’ existing workflows and assessing the benefits it delivered in terms of internal efficiency and external efficacy.

For online interviews, In2Dialog is added as a member of the online group call, whereas for in-person interviews the In2Dialog phone app is used as a recorder. The platform then not only captures and transcribes interviews but also distils key candidate information for efficient evaluation.

Candidate data is systematically categorised into areas such as motivations, competencies, and personality traits, with four essential discussion points generated to facilitate deeper follow-up conversations. Additionally, Bureau Blaauw had the flexibility to define their own selection criteria, enabling In2Dialog to extract and structure relevant insights accordingly.

The reports produced by In2Dialog are concise, standardised, and consistently formatted, ensuring fair and objective candidate comparisons—even when multiple team members conduct interviews. This enhances decision-making and streamlines the selection process.

Because this initial implementation was only a pilot test, two further important aspects of the In2Dialog solution were not fully used by Bureau Blaauw, but will become important aspects for the company as the product is rolled out across the entire recruitment operation.

  1. ATS integration: In2Dialog integrates with all major ATS platforms, channeling the reports and information generated through relevant pipelines. This allows recruitment teams to maintain their existing workflows without disruption while improving team work.
  2. Analysis of the recruitment process: In2Dialog goes beyond candidate evaluation, and can also help improve the interview process. By transforming traditionally subjective interview interactions into quantifiable data, it enables recruitment managers to assess team performance more effectively. Bureau Blaauw will be able to use metrics such as interview length, information extraction rates, question types, speech patterns, and conversational flow to further optimise their recruitment process.

Results

The benefits were almost instant for the pilot team making use of In2Dialog.
