Why is conversation analysis used?
In2Dialog’s interview analysis tool is used for the interview you are about to participate in. It allows us to automatically identify certain features of the interview and use them to provide feedback to the moderator(s) about your interview. When using this app, various data are recorded in the form of audio recordings. This data is analyzed automatically by In2Dialog B.V.. The collected data can also be analyzed manually by a small, authorized group of In2Dialog BV employees. Personal data is processed when using call analysis. In2Dialog B.V. is committed to protecting your personal data. We therefore ensure that no more data than strictly necessary is processed and that your data is handled with care.
Who is responsible for processing my personal data?
In2Dialog B.V. is the processor within the meaning of the General Data Protection Regulation. In2Dialog B.V. is located at Vleutensevaart 100, 3532 AD Utrecht. For what purposes will my personal data be processed and on what legal basis?
Your personal data will be processed for the following purposes:
A. Feedback: after the interview, the content is used to automatically prepare a report for your interviewer;
B. Research: the content of the conversation may be used by researchers of In2Dialog B.V. to improve its algorithms. Think of increasing predictive power or countering bias.
Are special personal data processed?
No, no special personal data are processed in the context of call analysis. In the case of call analysis, the following personal data are processed:
A. name (first name, initials, last name);
B. the audio recording of the recorded conversation;
C. email address; only if you want to receive a notification yourself;
D. your signature as given in this application to approve the recording.
Who has access to my personal information?
Access to the recording is only possible for employees of In2Dialog B.V. and the client(s). Within In2Dialog B.V., access is limited to authorized employees for whom access is necessary due to their role or function.
Will my data be shared with third parties?
Your personal data is stored in Google Cloud Service. The servers are located in the Netherlands. In this context, it is good to know that despite encryption, personal data is still involved. These will not be shared with third parties, unless In2Dialog B.V. is obliged to provide this data on the basis of a legal obligation or legal proceedings.
How long will my personal data be kept?
Your special personal data, i.e. your voice recordings, will be kept in accordance with the periods as determined by the end user, with a maximum of 1 (say one) year. This also applies to the transcripts of your conversations, with a maximum of 2 (say two) years. Your end user can inform you about the current retention periods.
How are my personal data protected?
In2Dialog B.V. takes appropriate technical and organizational measures to secure personal data against unauthorized access, loss and other forms of unlawful processing. For example, In2Dialog B.V. has it checked by an independent third party. The results of this are included in a Data Protection Impact Assessment (DPIA).
What rights do I have under the AVG and how can I use them?
You can exercise your right to object under Article 21 AVG. You can do so if, in your opinion, there are specific circumstances under which your privacy interest should outweigh the interests listed above. You also have other rights under the AVG that you can invoke under certain conditions: the right to inspection, the right to change your data if it is factually incorrect or incomplete, the right to deletion and the right to restriction of processing.
