Recruitment is about people, not admin. Yet in reality, recruiters still lose countless hours on data entry, note-taking and other administrative tasks. At Nomilk2day, they decided to change that. With In2Dialog’s AI notetaker, consultants save hours every week – without compromising on quality. In fact, their conversations have even gotten better. By now, the AI tool is fully embedded in their processes and Nomilk2day’s 25 colleagues can’t imagine working without it anymore.
Connecting ambitions
That’s how recruitment agency Nomilk2day matches top talent with employers in the agribusiness, food and related industries. They approach recruitment in their own way: fresh, energetic and forward-thinking. Guided by that vision, they operate from three offices in The Netherlands and several locations across Asia, all working toward one goal: creating the perfect match between people and organizations.
Founder and Managing Partner Wim van de Worp explains: “I started my own recruitment business in 2013. Since then, we’ve filled thousands of positions with Nomilk2day. That’s something I’m proud of.”
An AI notetaker for recruitment? A no-brainer
“I’m always looking for ways to make our process more efficient and improve quality. When I first heard about In2Dialog about a year and a half ago, I immediately saw the potential. Recruiters generally don’t enjoy doing admin – they’d rather spend that time talking to people. I looked into it to see if it really worked and it turns out it does,” says Wim about his first encounter with In2Dialog.
All 25 colleagues now use the AI notetaker daily: for candidate interviews, client intakes, internal meetings and client evaluations. “By now I’ve recorded and transcribed hundreds of conversations through In2Dialog,” Wim says. “And I’ve never met anyone who objected to being recorded. The acceptance rate is incredibly high.”
This technological step forward saves Nomilk2day hours per recruiter every week. “Every candidate interview is automatically logged in our ATS, complete with a report and transcript. I don’t have to take a single note myself and the follow-up steps after a client intake are handled with a single click. In2Dialog even generates a first draft of the job description based on the conversation. We then use another tool to combine that input with additional job information and automatically create a job posting in our own format – all without any manual work. I estimate we save at least 30 minutes per conversation and with a minimum of 10 conversations per consultant each week, the math speaks for itself. That’s over 100 hours saved every week! A no-brainer, if you ask me,” says Wim.
From innovation to day-to-day use
One of the most common hurdles when implementing new technology is adoption. Nomilk2day paid close attention to that from the start. Today, In2Dialog is fully integrated into their workflow and used by dozens of team members. Here’s Wim’s key advice: “You always have people who love trying new things and jump right in. Roughly a third of our team are those early adopters. Then you have the more critical colleagues who doubt whether it’s truly useful or how candidates and clients will react. The early adopters became our ambassadors, showing clear use cases and tangible results. If you keep that up, the critical group will follow. And once they’re on board, they’re genuinely convinced.”
More than efficiency: for both recruiter and candidate
Nomilk2day’s choice for In2Dialog’s AI notetaker has created a massive efficiency boost, but the benefits go beyond time savings. “During conversations, you can give your full attention to the person you’re talking to. There’s no need to type frantically or sit behind a laptop during face-to-face meetings. That allows you to reach a level deeper and candidates feel more seen and heard,” Wim explains.
At the same time, every transcript is complete and accurate. “Honestly, I could never make notes this detailed myself,” says Wim. “As a person you might overlook something, but the software doesn’t. And afterward, all the data is instantly available in our ATS.”
Finally, In2Dialog offers something truly unique in recruitment: objective feedback on your interviewing style. “In2Dialog provides detailed feedback on your conversations. How many open questions do you ask? Which topics do you cover extensively and which do you only touch on briefly? These statistics are compared to benchmarks and you can learn a lot from that. I find it extremely valuable, because there’s very little coaching in recruitment when it comes to interviewing,” Wim says.
AI as the new standard in recruitment, but with the human in the loop
“An AI notetaker might still feel new today, but developments are moving fast and the benefits are undeniable. I’m convinced this will soon become the standard,” Wim says.
What’s next for recruitment technology? Wim looks ahead: “It would be great if systems got smart enough to proactively suggest actions and tasks based on the massive amounts of data they have. Imagine you speak to a candidate on Monday who’s open to relocating to Barcelona for work and the next day your system suggests three matching vacancies there – complete with the hiring managers’ contact details. That would allow recruiters to focus on what really matters: connecting people.”
Still, Wim doesn’t believe in a fully automated recruitment world: “In theory, you could automate nearly the entire recruitment process with AI and automation, but I don’t see that as the right way forward. People want to talk to people. The essence of our work is connecting humans and that intuition about whether people truly fit, that’s something AI can’t replicate. The human in the loop remains essential for a real match.”
